Church Transfer Registration
Sometimes a person moves from one CRCA church to another and seeks to work with children in the new church. There are two parts to transfering a person from one congregation to another.
The first part is the transfer within Safety Management Online (SMO). The Safe Church Representative (ChildSafe Coordinator) in the new church is to send a simple request to the Safe Church Facilitator/National ChildSafe Administrator. An email suggesting the name of the person being transferred into the congregation – and the church he/she is being transferred from is sufficient to enable the transfer.
The next part is the Working With Children’s Card Check (Blue Card/WWVP). In NSW, QLD, WA, SA and TAS the person who has arrived in the new congregation contacts the Safe Church Representative in the new church, shows the card and allows the card to be verified on-line. In New South Wales:
Verifying is simply letting us know that a particular person who holds a Working With Children Check works for you. Doing this makes the link between the worker, employer and the OCG’s continuous monitoring system and means we can tell you if a person becomes barred in the future.
You can use a person’s application number once they have applied for a check (except in the education sector) and then verify again when they receive their clearance number.
You also need to do this when employees renew their Check after five years.
Verification MUST be done online and a record kept. These are legal requirements.
The process to verify a person online is quick and simple:
On the Employer log in and verify page
Enter in your organisation’s username and password
Select Verify Working With Children Check status tab
Enter in a worker’s family name, birth date, Working With Children Check number or Application number and click, Verify. This will generate a short report indicating the person’s status.
In Queensland: You need to let us know if there are any changes to your organisation’s details so we can get in touch with you quickly when necessary.
Link or unlink an employee
You need to let us know when there are changes to your blue card workers’ employment status.

Or, if your organisation is using the Organisation Portal, you can create a link with the applicant / card holder quickly using the portal.
In South Australia: Through your Organisation Portal, your organisation can verify a Working with Children Check. The system will allow you to link your organisation to your employees.
In Western Australia: Complete the Register Card Holders online form on the WWC Check website (www.workingwithchildren.wa.gov.au> Employers & Organisations> Register card holders) to advise us when you have new employees, volunteers and students who already have a WWC Card from a previous employer. Keeping this information up to date will help us contact you if the card holder working for you is issued with an Interim Negative Notice or Negative Notice (or of other matters if necessary).
In Tasmania: 1. The user with Employer Portal Administration access will log into the employer portal. Note: only the user with Employer Portal Administration access can add other portal users for their organisation. 2. Select Dashboard Users from the main menu 3. To add a new user, click on Add New 4. Enter the details for the new user including the security access value of the portal user i.e. Admin, Read Only User, Payment User 5. Click on Save. Quick link.
In Victoria: It is the responsibility of the Card Holder to advise that they are working or volunteering with your church. Before a worker starts doing child-related work with your organisation, make sure you check the status of their Working with Children Check card. It’s not enough to just see a worker’s card. Individuals must update their details to include the name of your organisation via their MyCheck account. Then, WWCC Vic will send you a letter of confirmation with a photocopy of their card. This ensures all records are kept up to date and WWCC Vic can contact you should any of the individual’s circumstances change, or the individual’s card is surrendered or revoked. Quick link.
If a person has moved interstate – a new WWCC/Blue Card/WWVP card application must be started.
